Robin Kirkham Coaching Refund Policy
This policy outlines the terms and conditions for refunds relating to coaching services provided by Robin Kirkham Coaching (sole trader, Auckland, New Zealand).
1. Scope of Service and Fees
1.1. All coaching services are provided following a proposal agreed upon between Robin Kirkham Coaching and the client.
The agreed-upon services are primarily:
Leadership Coaching, Growth Coaching for Career Development, and the New Zealand Principals’ Professional Growth Cycle.
1.2. The standard rate for one-on-one and team coaching sessions is
NZ$285 per hour, or as otherwise specified in the client's agreed-upon proposal.
1.3. Invoices for coaching sessions are issued
after each session or as otherwise specified in the agreed-upon proposal.
2. Cancellation of Individual Coaching Sessions
2.1. Client Cancellation: If a client needs to cancel a pre-booked individual coaching session, they must provide notice of cancellation at least 24 hours prior to the scheduled session time.
2.2. Late Cancellation/No-Show: If the client cancels a session with less than 24 hours notice, or if the client fails to attend a scheduled session (no-show), the client will be charged for the session in full, and no refund will be provided.
2.3. Coach Cancellation: If Robin Kirkham Coaching must cancel a scheduled session, the client will be offered the option to reschedule the session or receive a full refund for the cancelled session.
3. Early Termination of an Agreed Coaching Proposal
3.1. A client may choose to terminate the remaining coaching sessions outlined in an agreed-upon proposal (e.g., a multi-term commitment) at any time by providing written notice to Robin Kirkham Coaching.
3.2. Upon receiving the termination notice, Robin Kirkham Coaching will calculate the fees for all services already rendered up to the date of termination, including any sessions or consultations already completed.
3.3. Refund Calculation for Pre-Paid Services: If the client has pre-paid for a block of sessions or a full term/year, a refund will be issued for the un-rendered sessions. This refund will be the total amount paid less the cost of all rendered services and any non-recoverable administrative costs associated with the agreement.
3.4. Invoiced Services: If services have been rendered but not yet paid, the client remains responsible for payment of all outstanding invoices.
4. Travel and Ancillary Costs
4.1. The client is responsible for any agreed-upon travel costs for face-to-face meetings.
4.2. Travel time for face-to-face meetings will be charged at the hourly rate or as negotiated.
4.3. Refunds will not be provided for travel costs already incurred or paid by Robin Kirkham Coaching on behalf of the client (e.g., non-refundable travel bookings).
5. Dispute Resolution
5.1. Should a client be dissatisfied with a service and believe a refund is warranted, they should contact Robin Kirkham Coaching in writing with a detailed explanation of the issue.
5.2. Robin Kirkham Coaching is committed to finding a fair and reasonable solution and will review the request based on the terms of this policy and the specific proposal agreed with the client.
